The Student Life Administrative Specialist is responsible for providing comprehensive administrative support for various activities within the Student Life department.
Reporting directly to the Student Life Manager, the Specialist plays a crucial role in managing office communication, coordinating programs and events, and ensuring the maintenance of departmental records and procedures.
Responsibilities Assist with the coordination of Student Life programs and projects.
Handle all office communication, including answering phones, responding to emails, creating fliers and brochures, and preparing departmental reports as requested.
Collaborate with the Student Life Manager to assign tasks to Student Workers.
Assist with preparation of the student handbook, maintain the department websites Review and approve student organization and club publications, signs, and flyers.
Create and maintain office procedures and electronic storage to ensure proper record management and efficient work processes.
Maintain confidentiality of records.
Monitor all financial aspects of the Student Life office, including budget maintenance, purchasing materials, processing travel reimbursements, handling requisitions, and assisting with financial requests.
Collaborate with the Manager for Student Life to schedule internal and external appointments, conferences, and meetings.
Facilitate the organization of student group and faculty lecture events, including submitting facilities form, reserving space, creating room layouts, submitting service desk and media requests, ordering food and supplies, and handling contracts with 3rd party vendors.
Coordinate the mailing process for Engaging Leaders, honor society invitations, and other department mailings as needed.
Maintain college-wide calendar for department and student events.
Update the co-curricular transcript to reflect student involvement with student organizations.
Handle enrollment processing for Honor Societies.
Performs other duties as assigned.
Minimum Qualifications High School diploma or equivalent required.
Two years of prior experience in general clerical or customer service roles is required.
Proficiency in Microsoft Office Suite is necessary.
Ability to multi-task and prioritize workload.
Bilingual skills are preferred.
